About this visa invitation letter template
When a friend or relative applies for a visit visa, the embassy often asks for a letter from the person they will visit. A good invitation letter answers the visa officer's questions directly: who you are and your status in the country, who the guest is, why and when they are coming, where they will stay, who pays, and why they will go home. This template covers each point in order, with a list of the documents to enclose.
How to write a visa invitation letter
- 1
Download the Word file (or edit online) and add your name, address and contact details.
- 2
Write your status (citizen, permanent resident or permit type) and your job.
- 3
Add the guest's full name, date of birth, passport number, relationship and exact dates.
- 4
Say where they will stay, who pays, and their reasons to return home.
- 5
Sign it and enclose copies of your ID, proof of address and financial documents.
Tips for invitation letters
Match the application
Names, passport numbers and dates must be exactly the same as on the visa form.
Be honest about money
Only say you will pay costs if you can prove it with bank statements or payslips.
Show ties to home
A job, studies, family or property in the home country helps the officer believe the guest will return.
Check country rules
Some countries require an official form instead of a letter (for example a formal obligation letter in Germany). Check the embassy website.
