About this meeting minutes template
Good minutes answer three questions for anyone who missed the meeting: what was decided, who will do what, and by when. This template has a details table at the top, attendees and agenda, a discussion and decisions table, and an action-item table with owners, due dates and status. It works for team meetings, board meetings, committees, school councils and client calls.
How to take meeting minutes
- 1
Before the meeting, fill in the details table and agenda, and open the file with "Edit online" or in Word.
- 2
During the meeting, note decisions and actions, not every word said.
- 3
For every action, write one owner and one due date.
- 4
Within 24 hours, tidy the notes, save them as PDF and send them to everyone who attended.
- 5
At the next meeting, start by reviewing the action items, then have the chair approve the minutes.
Tips for useful minutes
Decisions over discussion
Record what was agreed and why in one line. Long discussion notes rarely get read.
One owner per action
An action shared by "the team" usually isn't done. Name a single person.
Send them fast
Minutes sent the same day get corrected and acted on; minutes sent a week later get ignored.
Keep a running file
Merge each meeting's PDF into one record for the year with the merge PDF tool.
