Guide

About this business proposal template

A quotation tells a client the price; a proposal tells them why it is worth it. This template follows the structure that wins work: a short summary, the client's needs in their own words, your solution and expected results, scope (including what is not included), a phased timeline, the investment table and payment terms, why you, and a signature block so the client can accept on the spot. It suits agencies, consultants, IT firms, contractors and B2B suppliers.

How to write a winning proposal

  1. 1

Click "Edit online", or download the Word file.

  2. 2

Fill in "Your needs" first, using the client's own words from your meeting.

  3. 3

Link each part of your solution to one of those needs, and state measurable results.

  4. 4

Set the scope, timeline and price, and list what is not included.

  5. 5

Write the summary last, save as PDF, and send it within 48 hours of the meeting.

Tips for proposals that win

Make it about them

Use "you" more than "we". The client cares about their problem, not your history.

Offer options

Two or three packages (basic, standard, premium) let the client choose how, not whether, to buy.

Show proof

One short case study with a number beats a page of claims.

Follow up

Call two or three days after sending. Many proposals are won on the follow-up.

A quotation is a price for a defined job. A proposal explains the client's problem, your approach and the value, then gives the price. Use a proposal for larger or competitive deals.

Two to five pages for most small and medium deals. Large tenders may need much more and usually set their own format.
